NATIONAL POLICY ON MEMBER INFORMATION DISCLOSURE (Privacy Policy)
The Sorority will only provide members’ information under specific circumstances.
- “Members’ information” includes but is not limited to individual membership or discipline
status or history, financial, donation, or academic data or history, member photos, and
contact information. “Contact information” includes but is not limited to name, title,
address, phone numbers and email addresses. - The Sorority may provide members with other member contact information after staff or
volunteers have verified that the requestor is a member in good standing. If a member
wishes not to have contact information shared with other members, the organization will
make reasonable efforts to accommodate the request. - Contact information of national volunteers, collegiate chapter officers and alumnae
chapter officers may be shared in several places, including but not limited to online and
printed Sorority publications. - Members’ names, chapter affiliations, and/or photos may be shared in online and printed
Sorority publications. - The Sorority will provide members’ information to volunteers when it is needed to execute
the functions of their role. - The Sorority will provide member contact information with licensed vendors only if there is
a completed confidentiality agreement, as approved by the executive director. - The Sorority may share member contact information and membership status or history with
colleges, universities and Panhellenic associations when it is needed to execute the
business of the college, university, or Panhellenic association. - When necessary or appropriate, the Sorority may disclose members’ information in
response to a court order or subpoena or when otherwise legally or contractually required.
Members’ information may not be shared except as outlined in this policy without approval from
the executive director.

Welcome to the digital platforms of Alpha Sigma Alpha Sorority, including our website, mobile application, and any associated digital services (collectively referred to as the “Services”). The following Terms of Service apply to all users of the websites at alphasigmaalpha.org and all subdomains, mobile versions and associated applications operated by Alpha Sigma Alpha.
These Terms of Service (“Terms”) govern your access to and use of our Services. By using our Services, you agree to be bound by these Terms. If you do not agree to these Terms, please do not use our Services.

Intellectual Property & Trademarks
You agree not to reproduce, duplicate, copy, sell, resell, distribute, or create derivative work from any portion of the Services, use of the Services, or access to the Services or any contact on the website through which the service is provided, without express written permission by us.
Alpha Sigma Alpha owns the trademark for the name “Alpha Sigma Alpha,” “AΣA,” the crest, and the badge. As such, Alpha Sigma Alpha is under legal duty to protect the goodwill associated with its trademark and has both the right and legal obligation to remove trademarks from a platform without a contract or written permission from the national organization.
The design or representation of the following marks including but not limited to the badge, crest, Greek-letters, all names and nicknames of Alpha Sigma Alpha shall not be created, produced, used or offered for sale by any person or company except as authorized by the national council or its designees.
Accounts and Passwords
To access certain aspects of our Services, you are required to create an account and password. You may not impersonate anyone else when creating your account. You are responsible for keeping your account information confidential and for any activity that happens under your account credentials. You also agree to notify Alpha Sigma Alpha if you experience or suspect loss, theft or unauthorized use of your account and password.
Communication Tools
Our Services include various communication tools that allow members to build connections and community with one another. By using these communication tools, you agree to use them responsibly and only for appropriate and relevant purposes.
When using all Services, including communication tools, you agree not to:
- Share, post, upload or distribute any content that is inappropriate, hateful, threatening, discriminatory, degrading, intimidating, illegal, insensitive, profane, defamatory, abusive, infringing, libel, or that is in violation of Alpha Sigma Alpha’s values or that violates the legal rights of others.
- Use Services or member data obtained through Services to advertise or solicit business, products, donations or services unless the communication tool permits such communication.
- Solicit or upload files that are confidential, protected by intellectual property laws, or privacy rights.
- Attempt, in any manner, to obtain the password, account or other security information from any other user.
- Promote or conduct surveys, contests, pyramid schemes, chain letters or other types of requests that lead to spam or unwanted communications.
- Collect, harvest, store, sell, trade, “spam,” or share personal information, including email addresses, of members with other parties, including Generative AI learning models, without their written consent.
- Upload, transmit, disseminate or use the Services to send or store malicious code, including any worms, viruses, Trojan horses, or any other software or code of a destructive nature.
- Violate any applicable federal, state, local or international law.
User-Generated Content
We welcome member stories, photos, videos, reviews, submissions, suggestions, ideas, and comments (collectively referred to as “Your Content”), and sometimes want to feature it on our Services.
You provide Your Content by uploading to our website, forms, or other collectors hosted on our Services; sending directly to an individual representing Sorority business; or posting, commenting, tagging, or direct messaging on our social media pages. By sharing, submitting, or uploading Alpha Sigma Alpha related content publicly, you understand your name, image, likeness, and/or voice may be used by a collegiate chapter, alumnae chapter, or the Alpha Sigma Alpha National Organization for marketing, publicity, advertising, and other promotional purposes.
By submitting Your Content, you retain ownership but authorize Alpha Sigma Alpha to use, publish, post, display, retain, modify, reproduce, and modify Your Content with or without your identification in perpetuity, worldwide.
If you wish for Alpha Sigma Alpha to remove a specific piece of Your Content from Alpha Sigma Alpha’s Services, please email ASA@alphasigmaalpha.org.
DISCLAIMER OF WARRANTIES; LIMITATION OF LIABILITY
We do not guarantee, represent or warrant that your use of our Services will be uninterrupted, timely, secure or error-free. We do not warrant that the results that may be obtained from the use of the service will be accurate or reliable.
You expressly agree that your use of, or inability to use, our Services is at your sole risk.

INDEMNIFICATION
You agree to indemnify, defend, and hold harmless Alpha Sigma Alpha Sorority and our parent, subsidiaries, affiliates, partners, officers, directors, agents, contractors, licensors, service providers, subcontractors, suppliers, interns, and employees, harmless from any claim or demand, including reasonable attorneys’ fees, made by any third-party due to or arising out of your breach of these Terms of Service or the documents they incorporate by reference, or your violation of any law or the rights of a third-party.
SEVERABILITY
In the event that any provision of these Terms of Service is determined to be unlawful, void, or unenforceable, such provision will nonetheless be enforceable to the fullest extent permitted by applicable law, and the unenforceable portion shall be deemed to be severed from these Terms of Service, such determination shall not affect the validity and enforceability of any other remaining provisions.
TERMINATION
The obligations and liabilities of the parties incurred prior to the termination date will survive the termination of this agreement for all purposes.
These Terms of Service are effective unless and until terminated by either you or us. You may terminate these Terms of Service at any time by notifying us that you no longer wish to use our Services, or when you cease using our site.
If in our sole judgment, you fail, or we suspect that you have failed, to comply with any term or provision of these Terms of Service, we also may terminate this agreement at any time without notice and you will remain liable for all amounts due up to and including the date of termination; and/or accordingly may deny you access to our Services (or any part thereof).
ENTIRE AGREEMENT
The failure of us to exercise or enforce any right or provision of these Terms of Service does not constitute a waiver of such right or provision.
These Terms of Service and any policies or operating rules posted by us on this site or in respect to The Service constitutes the entire agreement and understanding between you and us and govern your use of the Service, superseding any prior or contemporaneous agreements, communications, and proposals, whether oral or written, between you and us (including, but not limited to, any prior versions of the Terms of Service).
Any ambiguities in the interpretation of these Terms of Service shall not be construed against the drafting party.
GOVERNING LAW
These Terms of Service and any separate agreements whereby we provide you Services shall be governed by and construed in accordance with the laws of Missouri.
